Cancellation or Alteration

If you have to cancel or alter your booking for a Creative Camp, we will try to transfer your booking to another week if space permits, but if not, you will be charged the full rate for the slot booked.

Public Liability Insurance

Whilst they are taking part in activities the children are covered by Creative Camp’s public liability insurance.

First Aid

All our staff are qualified first-aiders and are trained to administer first aid assistance should your child require it. The emergency services will be called if further assistance is needed. Parents should ensure that any special requirements or allergies are notified on the medical section of the application form to ensure that appropriate treatment is given when treating their child.

Medical Conditions and Treatments

Please note that it is a legal requirement for parents to leave clear, written guidelines and instructions for use with any medicines/inhalers or allergy treatments on arrival each day. Parents are also required to sign for the receipt of medicines on departure and to sign to acknowledge any treatments administered during the day. This also applies to First Aid treatments.

Weather protection

Parents should ensure that children are adequately protected from the sun by providing appropriate clothing/sun hats and ensuring that sun cream has been applied in advance of arrival to Creative Camp. Please do inform us upon drop-off if there would be any issue with us applying an additional application of sunblock during the day. We will have children’s suncream on offer however if you prefer your own brand, please send it in. We are very fortunate to have  outdoor space with shade too.


You will need to send in a packed lunch. We are a nut free environment. A mid morning snack -water, popcorn, raisins, cucumbers and carrots will be offered at around 10:30 am. Please let us know in advance if you have specific dietary requirements. The late collection club will also offer a snack- summer fruit, a drink and ricecakes. Your children’s health and nutrition is of the utmost importance to us. We will endeavour to reduce our use of refined white sugar whilst baking. Plenty of liquids  (water) will be offered throughout the day. 

Timetable Changes

In the event of extreme weather or other factors which may arise which are beyond our reasonable control, the programmes may be subject to alteration or rearrangement. We reserve the right to cancel schemes which are under-subscribed, and will notify parents as soon as possible of any such cancellations or significant amendments.


During the scheme, some photographs may be taken which may be used in future to promote Creative Camp, both in print and online. If you do NOT wish your child’s image to be used in this way, please let us know by emailing. Please note that names will not be used in any publicity adjacent to photographs of children. All photographs will be taken at a distance so as to not focus of faces but rather the activity.

Drop Off and Collection Arrangements

We aim to make dropping off in the morning as easy and convenient as possible. Please bring your children to the main entrance of the Hadley Wood Association hall. There is an off street parking lot with free and ample spaces. We understand that everyone has a different morning routine thus offer various drop off times (to suit most!) You can choose to drop off at 8.30am, 9:00 or 10 am. Camp finishes at 3:30pm. As is a later collection time up until 4:30pm. This needs to be pre-arranged when registering.

If you are unable to collect your child/children yourself, please let us know who will be collecting them, for security reasons. Please fill in the collection password on the booking form and make sure the person collecting knows this password. If your plans change during the day, please contact Debbie Berkowitz via text message on 07723033354 to advise us of your alternative arrangements for collection. If for some reason you need to collect your child/children at any other time, please contact us on the numbers shown above to let staff know when you will arrive – the Association is a secure site during the scheme, so all external doors will be locked except at the normal drop-off and collection times shown above.


We reserve the right to exclude or refuse any child prior to or during the holiday camp if in our opinion the presence of that child is incompatible with the well-being of others on the scheme. Bullying and poor behaviour will be dealt with appropriately as soon as it is reported. Any additional cost incurred by Creative Camps as a result of any exclusion or refusal, including damage or transport home, will be borne by parents or guardians, and no refund will be made.

Safety first

Acting as loco parentis, we apply the same standards of care and safety that any parent would expect, not least because we are parents too. We comply fully with the 2004 Children Act with a minimum staff to child ratio of 1:8. All staff helping at camp are fully qualified teachers who have DBS, First Aid training and a skill with working with children. So while your children are having fun, you can be sure they’re being well looked after.

Tennis add-on

The 45 min session is run by Stuart Martin and Nick Wheeler who head the Hadley Wood Tennis Club and Summer Tennis Camp. Children will be supervised to and from the Creative Camp Hall to the tennis courts by a Creative Camp teacher. All the tennis coaches are DBS checked and are able to admintser first aid. Creative Camp LTD is not providing and running the tennis activity but only offering a convenient service for children and parents. Therefore the Hadley Wood Tennis Club and specifically Summer Tennis Camp will take responsibility for any injuries, or events occuring during the tennis lesson.
